User Management in Rayven.io allows you to control who can access your apps and what they can do within them. Easily assign roles, manage permissions, and collaborate securely across your Apps.
-
User Management in Rayven.io provides complete control over who can access your apps and what they are allowed to do within them. Through a combination of user roles and user groups, administrators can ensure secure, segmented access that aligns with operational needs, internal teams, or customer organizations.
What Are User Groups?
User Groups in Rayven define access boundaries. They determine:
-
Which dashboards or interfaces users can see
-
What data they can view or interact with
-
What actions they can perform (e.g., edit, execute workflows)
By assigning users to groups, you enforce data segmentation and permission control, ensuring that each user or department only has access to what they need.
Benefits of User Groups:
-
Create role-based visibility across different apps or clients
-
Enable collaboration while maintaining data privacy
-
Simplify administration by assigning roles in bulk

Best Practices
-
Use clear group names that reflect department, access scope, or purpose (e.g., “Marketing – Read Only”).
-
Audit users periodically and deactivate unused accounts.
-
Restrict Admin roles to only those who need full access.
-
Review group assignments regularly as organizational structures change.
Q&A: User Management in Rayven.io
Q: What is the difference between a role and a user group?
A: A role (e.g., Admin, Viewer) defines access capabilities (edit, view, manage), while a user group defines what content and data the user can access (dashboards, interfaces, records).
Q: Can one user belong to multiple groups?
A: No. Each user can be assigned to one group. To give broader access, adjust the group’s settings or create an additional group if needed.
Q: What happens if I remove a user from a group?
A: The user will lose access to dashboards and data associated with that group but will retain their account status unless deactivated.
Q: Can I limit a user’s access to specific dashboards only?
A: Yes. Use User Groups to assign dashboard visibility. Only dashboards assigned to the group will be visible to its users.
Q: How do I assign a user as an administrator?
A: In the Users section, select the user, edit their profile, and set their role to Admin. Only Admins can manage users, devices, and configurations.
Q: What’s the best way to manage external or client access?
A: Create a dedicated user group for each client or external team. Limit their access to only the dashboards and data relevant to their scope.
Q: Can I track who made changes or accessed data?
A: Yes. Use the audit log feature to monitor user login times and platform actions. -
