In Rayven, App Management Roles allow the Account Owner and SuperAdmins to control which specific parts of an app Admins and Users can access. This gives you the flexibility to manage access to different elements within an app, such as Workflows, Dev
Creating and Editing App Management Roles
Account Owners and SuperAdmins can create and manage App Management Roles. These roles define which elements of an app a user can access. Follow these steps to create or edit an App Management Role:
How to Create an App Management Role:
- Log in as an Account Owner or SuperAdmin.
- Click the menu icon in the top-right corner.
- Select Workspace Users.
- Click Manage Roles, then click Add New Role.
- Enter a meaningful name for the App Management Role (e.g., App Engineer, Dashboard QA Manager, or Reports Creator).
- Optionally, enter a description for the role.
- Select which App Elements you want this role to access (e.g., Dashboards, Workflows, Reports, etc.).
- Click Save to finish adding the App Management Role.
Note: You can create an App Management Role that has access to all app elements. However, if a user needs full access indefinitely, it might be more efficient to assign them the SuperAdmin role, which gives access to all apps by default.
Assigning App Management Roles
Once App Management Roles are created, they can be assigned to the relevant Workspace Users. The Account Owner and SuperAdmins have the ability to assign roles for any app. Admins and Users can also assign roles if they are the App Owner (i.e., they created the app).
How to Assign an App Management Role:
- Navigate to an App within the Rayven Workspace.
- Click the menu icon in the top-right corner.
- Select Access Roles.
- In the configuration window, you will see a list of App Management Roles along with a corresponding Access row:
- Account Owner and SuperAdmins will have Full Access by default.
- The user who created the app will appear as the App Owner.
- For Admins and Users, a drop-down menu will appear. By default, they will have no access to the app. Choose the desired App Management Role from the drop-down menu.
- Click Update to apply the role and provide access to the user.
- (Optional) You can assign a different user as App Owner from this window, but note that only one user can be the App Owner at a time.
What Happens Next:
Once an App Management Role is assigned to an Admin or User, they will gain access to the specified elements of the app. The next time they log in, the app will appear in the left-hand panel of their Rayven Workspace, and they will be able to interact with the elements you’ve granted them access to.
App Management Role Flexibility
-
App Owners: The person who creates an app is automatically assigned as the App Owner. App Owners have control over that app, including the ability to delete it, assign roles, or reassign ownership to another user.
-
Role Customization: You can create App Management Roles with highly specific permissions, tailoring the user’s experience to their responsibilities. For example, a user responsible only for generating reports can be granted access exclusively to the Reports element of an app.
-
Role Reassignment: If needed, you can change the App Owner or modify the access levels of Admins and Users as projects evolve or team structures change.
